Welcome to Zeno Space! We are proud to offer an affordable, collaborative workspace that fosters a close-knit community of local small business owners and entrepreneurs.

To ensure that our space remains a productive, safe, and enjoyable environment for all members, we ask that you carefully read and adhere to the following rules and guidelines.

These rules are in place to protect our community, the building, and the reputation of Zeno Space.

To ensure that our space remains a productive, safe, and enjoyable environment for all members, we ask that you carefully read and adhere to the following rules and guidelines.

1. Respect for Other Members

  • Noise Control: Maintain a quiet and respectful atmosphere. Conversations, phone calls, and video conferences should be conducted in designated areas or using headphones. If you need to engage in discussions, please use private meeting rooms or designated collaboration spaces.

  • Odour Control: To maintain a pleasant environment, avoid bringing in or consuming food with strong odours. Please also be mindful of personal hygiene, as it directly impacts the comfort of others in shared spaces.

  • Shared Space Etiquette: Always clean up after yourself in communal areas, including the kitchen, bathrooms, and seating areas. Do not leave personal items or clutter in shared spaces. Respect the workspace of others by not disturbing their belongings or work.

2. Prohibition of Abusive Language, Behaviour, and Profanity

  • Respectful Communication: Zeno Space is committed to fostering a positive and inclusive environment. All members are expected to communicate respectfully with one another, whether in person, over the phone, or through digital channels. Abusive language, aggressive behaviour, and profanity are strictly prohibited.

  • Abusive Language: Any form of verbal abuse, including but not limited to shouting, derogatory remarks, or offensive comments, will not be tolerated. This applies to interactions with fellow members, visitors, and staff. Disrespectful communication disrupts the collaborative spirit we strive to maintain.

  • Aggressive Behaviour: Physical or verbal intimidation, threats, or any behaviour intended to harm or demean others is strictly prohibited. This includes bullying, harassment, and any actions that could create a hostile work environment. All members have the right to feel safe and respected within Zeno Space.

  • Profanity: The use of profanity, whether in casual conversation, written communication, or public postings within the space, is not allowed. We expect all members to uphold a professional and courteous standard of conduct.

  • Conflict Resolution: If you experience or witness abusive language or behaviour, report the incident to management immediately. We are committed to addressing such issues promptly and ensuring that Zeno Space remains a welcoming environment for all.

  • Consequences: Violations of this policy will result in disciplinary action, which may include a formal warning, suspension, or termination of membership, depending on the severity of the offense. Repeated offenses will lead to stricter consequences.

3. Fire Safety

  • Fire Exits: Familiarise yourself with the location of all fire exits and ensure they are not obstructed at any time. Exits must remain clear for quick and safe evacuation. Furniture or other items should never be placed in a way which obstructs fire exits.

  • Emergency Evacuation Plan: Follow the posted emergency evacuation plan. Participation in fire drills is mandatory, as they are essential for ensuring everyone's safety in an emergency.

  • No Open Flames: The use of open flames, such as candles, lighters, or any flammable materials, is strictly prohibited within the premises. This policy is vital for fire prevention.

  • Fire Equipment: Do not tamper with fire extinguishers, alarms, or any fire safety equipment. These are critical for emergency situations and must remain in proper working condition.

4. Security

  • Access Control: Ensure that the main entrance door is securely closed behind you when entering or exiting. Do not allow unauthorised individuals to enter the building. For security reasons, tailgating (letting someone enter behind you without verifying their identity) is not permitted.

  • Personal Belongings: Keep your personal belongings secure at all times. Zeno Space is not liable for lost, stolen, or damaged items. We recommend not leaving valuables unattended.

  • Visitor Policy: All visitors must be registered at the reception upon arrival and must be accompanied by a member at all times. Visitors are not permitted to access members-only areas, such as private offices, without prior approval from management.

  • Surveillance: Security cameras monitor the premises 24/7. Be aware that your activities may be recorded for security purposes. The footage is used solely to ensure the safety and security of our community.

5. Restricted Areas

  • Prohibited Access: Certain areas within the building are off-limits to members and visitors, including storage rooms, maintenance areas, and any other areas designated as restricted by management. Access to these areas is strictly controlled and may only be granted by management.

  • Management-Only Spaces: Some areas, such as the building's control room, server rooms, and utility spaces, are accessible only to authorised personnel. Members must not attempt to enter these spaces under any circumstances.

  • Electrical Switchboards & Server/Data Boxes: Access to the electrical switchboard and any server or data boxes is strictly prohibited. These areas contain sensitive and potentially hazardous equipment that can only be handled by authorised personnel. Tampering with or attempting to access these areas is a serious violation of our safety and security protocols and will result in immediate disciplinary action.

6. Climate Control

  • A/C and Heating Controls: To maintain a comfortable environment for everyone, the air conditioning and heating systems are centrally controlled by management. Do not tamper with or adjust any thermostats, control panels, or A/C units. If you feel the temperature is too hot or cold, please notify management, and we will adjust the settings as necessary.

  • Windows & Doors: Do not open windows or prop open doors in areas where climate control is in effect. Doing so can interfere with the efficiency of the system and disrupt the comfort of other members.

7. Waste Management

  • Community Responsibility: Zeno Space is committed to environmental sustainability. We ask all members to actively participate in our waste management program. Properly separate recyclables from general waste and use the designated bins for disposal.

  • Recycling: Familiarise yourself with the recycling guidelines posted in the kitchen and communal areas. Ensure that recyclable materials (such as paper, plastics, and glass) are correctly sorted and placed in the appropriate bins.

  • General Waste: Non-recyclable waste should be disposed of in the designated general waste bins. Do not leave waste in undesignated areas or allow it to accumulate.

  • Electronic Waste: Electronics should not be disposed of in regular bins. Speak to management about the proper disposal of electronic devices and batteries.

  • No Dumping: As a community, we have a responsibility to keep our neighbourhood clean. Under no circumstances should waste be dumped on the streets adjacent to the building. Any member found doing so will face immediate disciplinary action, including potential termination of membership.

8. Building Respect & Maintenance

  • Cleanliness: Keep your workspace and all shared spaces tidy. Clean up after yourself and do not leave clutter or debris in common areas. Report any spills, damages, or maintenance issues to management immediately.

  • Furniture & Equipment: Do not move or modify furniture or equipment without prior approval from management. This includes communal desks, chairs, and office supplies. After using shared equipment, return it to its designated place.

  • Doors & Windows: For security and climate control, do not prop doors open or leave windows open when leaving the premises. Ensure that all entry points are secure when you exit the building.

  • Decorations: While personalising your workspace is encouraged, please ensure that any decorations do not damage or permanently alter the space. Consult with management before making any changes, such as hanging items on walls.

9.   Prohibition of Unauthorised Modifications

  • Furniture & Fixtures: Members are prohibited from bringing in, installing, or modifying any furniture, fittings, fixtures, signs, decals, or other items within the co-working space without prior written approval from management. This includes adding or changing decor, equipment, or structural elements.

  • Approval Process: Any requests to introduce new items or make alterations must be submitted in writing to management. Approval will be granted based on compatibility with the existing environment, safety considerations, and overall impact on the workspace.

  • Unauthorised Installations: Any items or modifications installed without prior approval will be removed by management at the member’s expense. Repeated violations of this rule may result in disciplinary action or termination of membership.

  • Restoration: If any unauthorised changes are made, members are required to restore the space to its original condition, including the removal of any unauthorised items, at their own cost.

10. Noise and Disruptions

  • Quiet Zones: Respect areas designated as quiet zones, where phone calls, loud conversations, and other noise-making activities are discouraged. These zones are intended to provide a peaceful environment for focused work.

  • Events & Gatherings: All events, whether social or professional, must be pre-approved by management. Be mindful of noise levels and the impact on other members during these events.

  • Music & Media: If you wish to play music or other media aloud, use the communal speakers provided or ensure that the volume does not disrupt others. Consider using headphones if possible.

  • Prohibition of Personal Speakers: Members are prohibited from bringing in or using personal speakers within the co-working space. This includes portable speakers, desktop speakers, or any other audio equipment that could create noise disturbances. If you wish to listen to music or other audio content, please use headphones or the communal speakers provided by Zeno Space. Unauthorised use of personal speakers will result in a warning, and repeated violations may lead to disciplinary action.

11. Community Engagement

  • Collaboration: Zeno Space encourages collaboration and networking among members. Engage with fellow members respectfully and professionally, and look for opportunities to support and collaborate with one another.

  • Community Events: We host regular community events, workshops, and social gatherings to foster a sense of belonging and collaboration. Participation is encouraged, but please be respectful of the space and others during these events.

  • Feedback: Your feedback is invaluable to us. Share your thoughts, suggestions, or concerns with management to help us continuously improve the Zeno Space experience. Feedback can be submitted via email or in person.

12. Health & Safety

  • Hygiene: Practice good hygiene, especially in shared spaces like the kitchen and bathrooms. Hand sanitizer stations are available throughout the space; please use them regularly.

  • Illness: If you are feeling unwell or exhibit symptoms of a contagious illness, please stay home to protect the health of other members. Consider using remote work options if possible.

  • First Aid: First aid kits are available on the premises. In case of injury or health concerns, report the incident to management immediately so that appropriate action can be taken.

13. Internet & Technology

  • Wi-Fi Use: Use the provided Wi-Fi network responsibly. Avoid activities that consume excessive bandwidth, such as large file downloads, which could slow the network for others.

  • Data Security: Protect your devices with passwords and ensure that your data is secure. Zeno Space is not responsible for any data breaches, losses, or security incidents that occur on your personal devices.

  • Printing & Scanning: Use communal printers and scanners responsibly. Report any malfunctions or technical issues to management so they can be addressed promptly.

14. Parking & Transportation

  • Bicycle Storage: Secure your bicycle in the designated storage area. Do not block entrances, exits, or walkways. Bicycles should be locked securely to prevent theft.

  • Parking: If parking is provided, use only the designated spots allocated to Zeno Space members. Do not park in spaces reserved for others or in unauthorised areas. Follow any posted parking rules and regulations.

  • Public Transport: We encourage the use of public transportation to reduce our environmental footprint. Zeno Space is conveniently located near public transport options, making it easy to access without the need for personal vehicles.

15. Smoking & Alcohol

  • Smoking: Smoking is strictly prohibited within the building and directly in front of entrances. If designated smoking areas are available, use them and dispose of cigarette butts properly.

  • Alcohol: Alcohol consumption is permitted only during approved events. Excessive drinking or disruptive behavior will not be tolerated and may result in disciplinary action.

16. Legal Compliance

  • Lawful Use: All activities within Zeno Space must comply with local laws and regulations. Engaging in illegal activities on the premises will result in immediate termination of membership and potential legal action.

  • Intellectual Property: Respect intellectual property rights. Do not use or distribute content that infringes on the rights of others. Plagiarism and unauthorised use of copyrighted material are strictly prohibited.

  • Contractual Obligations: Adhere to the terms and conditions outlined in your membership agreement. Failure to comply may result in penalties, including the potential termination of your membership.

17. Incident Reporting

  • Incident Reports: If you witness or are involved in an incident (e.g., security breaches, accidents, conflicts, or any other concerning events), it is your responsibility to report it to management as soon as possible.

  • Detailed Reporting: Please complete a detailed incident report, including all relevant information such as date, time, individuals involved, and a description of the incident. Email this report to space@zenospace.com.au. Management will review the incident and take appropriate action.

  • Confidentiality: All incident reports will be treated with confidentiality, and necessary actions will be taken to ensure the safety and well-being of all members.

18. Protecting Zeno Space’s Reputation

  • Brand Integrity: As a member of Zeno Space, you represent our community both within the space and externally. We require that you protect the reputation of Zeno Space in all communications, whether online or offline, formal or informal.

  • Social Media & Online Presence: When posting about Zeno Space on social media or other online platforms, ensure that your comments are positive and constructive. Express or implied statements or posts that could damage or defame Zeno Space or its members are strictly prohibited.

  • Professional Conduct: Refrain from making defamatory or negative express or implied statements about Zeno Space, its management, or other members in public or private forums. This includes all forms of communication, whether written, verbal, or digital. Constructive feedback should be directed to management via appropriate channels.

  • External Communications: If you are contacted by the media or other external parties regarding Zeno Space, please refer them to our management team. Unauthorised individuals should not speak on behalf of Zeno Space.

  • Resolving Disputes: If you have concerns or grievances about Zeno Space, we encourage you to address them directly with management rather than airing them publicly. We are committed to resolving issues in a fair and professional manner.

  • Confidentiality: Protect the confidentiality of Zeno Space’s operations and the privacy of its members. Do not share sensitive information or internal communications without proper authorisation.
